10 Tips to assist your organization in meeting Meaningful Use (MU) requirements

• Ensure appropriate governance, project infrastructure, change management and communication framework for the MU implementation are in place. With competing projects and financial pressures, unwavering, consistent Executive Leadership and support for the project is critical to remove any obstacles as they surface. Priorities must be set at the highest level to avoid chaos and to meet program requirements. Your Clinical Leadership Team must be involved and become active supporters.
• Seek experts to understand your EHR application behavior and set-up options. Making design, build and implementation decisions without full understanding of your systems and their options to meet your needs can result in challenges that will impact adoption.
• Define MU workflows in conjunction with providers and staff. Details required to report and satisfy MU requirements need to be collected by the right people at the right time providing minimal impact to the operations of the group. Involving Physician leaders in the process is critical to buy-in. Look at the project as a Clinical Transformation project to promote success, instead of an IT project. Backfilling key Clinical Contributors is often necessary to allow them the required time to focus on implementing your MU compliant EHR.
• Thoroughly test new workflows and their timings and impact to existing workflows. Adjustments to space, personnel, devices and technology may be required.
• Confirm how Eligible Providers/Professionals will be motivated. Do not expect everyone to fall in line to implement change without "skin in the game." Setting appropriate expectations and desired outcomes is critical.
• Develop role based training to meet MU requirements. Do not underestimate the importance of communication and training based on clearly defined roles of all the stakeholders involved in the project.
• Provide appropriate support to assist your team members who are expected to capture the necessary information to satisfy MU. Develop good, new habits by immediately putting in place the appropriate support from IS, Physician Champions and Super Users.
• Monitor the compliance of the Eligible Providers/Professionals before the reporting period starts. This is important to understand which Eligible Providers and supporting staff may need additional training and coaching, and to validate the reports themselves as well as the mappings and logic in place to determine the numerators and denominators.
• Consider setting the bar higher than the minimum requirements in preparation of future stages and to allow for margin of error. One of the reasons for implementing MU is to improve patient outcomes: setting the bar higher helps to avoid missing a passing grade by a small percentage point while providing the details needed to manage the care of all patients.
• Regularly assess and monitor rate of internal adoption of all the projects and initiatives required to satisfy MU. Strong leadership and project management with regular reports confirming progress, status and risks is very important to achieve success with the program. As new competing priorities present, they will need to be held in check to keep focus on original goals.
